Steering Committee Meeting

Presenter Information

If you are making a presentation at the NIDA Clinical Trials Network Steering Committee Meeting, please review these instructions and procedures. A reference copy is available for download.

Onsite materials:

SEI will duplicate and assemble into meeting folders committee and workgroup session materials (e.g., agenda, handouts, etc.) received by Wednesday, March 28. Please send all materials in files 20 MB or smaller to bhoeftman@seiservices.com.

If you are unable to provide materials by the requested due date and wish to have materials distributed to session participants, you may be responsible for duplicating your materials. In this case, SEI, upon request, will provide you the registration count for your session.

Audiovisual Equipment:

All session rooms will be equipped with a laptop and LCD projector. If you require additional equipment, including those listed below, please notify Cheryl Brinkley at cbrinkley@seiservices.com as soon as possible so that a request can be presented to NIDA for approval.

  • Flipchart with markers and tape
  • Internet connection
  • Teleconference set-up

PowerPoint Presentations:

Important: To ensure proper handling, files names for all presentations should include presenter name, presentation date, and session name (e.g., BJones-3.16-Steering Committee.ppt).

SEI will preload onto session laptops all PowerPoint slides in files 20 MB or smaller received by Wednesday, April 11 at bhoeftman@seiservices.com. Larger files can be loaded onsite.

Please note that unless otherwise requested, SEI will forward all presentations to CCTN after the meeting for posting onto the NIDA LiveLink website. If you do not want your presentation posted, please inform a SEI staff person before the end of the meeting.

If you are unable to provide your PowerPoint slides by the requested due date, please bring them with you on a flash drive. When you arrive onsite, follow these procedures:

  • Committee and/or Workgroup sessions:
    • Load your PowerPoint slides into the session folder located on the laptop. After the meeting, SEI will collect the presentations and forward them to CCTN. If you do not want your presentation forwarded to CCTN, you may delete it from the laptop after the session.
    • Session rooms will be available to committee members starting one hour prior to the scheduled session start time.
       
  • Steering Committee sessions:
    Please see the audiovisual technician for loading presentations, preferably one hour prior to your presentation. The technician will be available in the session room starting one hour before and during session hours. A sign reading "Presentation Downloads" will indicate the technician’s location.
